Job Purpose

The Finance and Procurement Assistant will support the day-to-day financial management and procurement operations of the Americares Tanzania Country Office.

The role focuses on:

  • Financial documentation

  • Procurement processing

  • Record management

  • Compliance monitoring

  • Audit preparedness

  • Operational support

The successful candidate will help ensure all financial and procurement activities comply with Americares policies, donor requirements, and Tanzanian regulations.

Key Responsibilities

Finance Support

  • Prepare payment vouchers and supporting documentation.

  • Maintain accurate financial filing systems.

  • Track invoices, travel expenses, and payment schedules.

  • Support monthly and year-end financial closing activities.

  • Prepare documentation for internal and external audits.

  • Verify compliance with Electronic Fiscal Device (EFD) requirements.

  • Assist with petty cash administration and record keeping.

  • Maintain audit-ready financial records.

Procurement Support

  • Assist in procurement of goods and services.

  • Prepare Requests for Quotations (RFQs).

  • Support Purchase Order (PO) preparation and tracking.

  • Maintain supplier and vendor databases.

  • Conduct market research and supplier analysis.

  • Support procurement committee activities.

  • Monitor procurement workflows and delivery schedules.

  • Ensure procurement documentation is complete and compliant.

Compliance & Internal Controls

  • Ensure adherence to donor regulations and organizational policies.

  • Maintain confidentiality of financial and procurement information.

  • Support segregation-of-duties (SOD) compliance.

  • Identify and report compliance risks promptly.

  • Contribute to operational accountability and transparency.

Required Qualifications

Applicants must possess:

Education

Bachelor's Degree in:

  • Accounting

  • Finance

  • Commerce

  • Procurement and Supply Management

  • Business Administration

  • Or related disciplines

Experience

  • Minimum 1–2 years of relevant experience in:

    • Finance

    • Accounting

    • Procurement

    • Administration

Experience within:

  • NGOs

  • International Organizations

  • Development Projects

  • Donor-Funded Programs
